But, let’s break it down a bit more when you work with me in a coaching partnership.
The Step-by-Step Process:
1. Free Consultation Call
First step, it all begins when you make an initial inquiry on my website. This is usually through my contact form and online scheduler – here you can choose a time slot and a date that works for both of us. Once you’ve booked your slot, I will receive an email notifying me of the new booking and will add it to my calendar. I’ll also respond directly to your inquiry, answering any preliminary questions you might have.
On the consultation call, you’ll get an opportunity to ask any additional questions that you might have about the process, working with me and what’s involved, how long it might take, or anything else that’s on your mind. I will also ask you some questions about your business, your vision and what you really want to get out of the project. This call gives us both the opportunity to really get a feel for if we’re a good fit for each other. Don’t worry, I won’t put you on the spot or ask you to make any decisions on the actual call. You can go off to digest the information and decide on your own time! It needs to make sense for us both.
2. Secure Your Design Spot
Once you’ve confirmed that you’d like to book in with me (so thrilled!), we’ll discuss a start date that works for us both. Then, I’ll send you over your contract and invoice for your initial 50% deposit. Once I’ve received your payment, this will secure your spot.
I always recommend my clients booking at least 2-4 weeks in advance. This gives you plenty of time to gather content and prepare for the project once that date arrives.
At this stage, I’ll also set up your very own client portal in my project management system. This is where all important documents (like your contract, invoices + feedback forms) will be saved in one, easily accessible place. Our main point of communication will be through emails and video calls throughout the project, but this is where you’ll find all your content, documents, contracts, etc.
3. Brand & website questionnaire
Think of this as the discovery phase. Prior to the commencement of your project, I’ll request you to fill out a questionnaire. You’ll be provided with two questionnaires and a guide for website content. These materials are crafted to assist you in systematically compiling content and gaining a clear understanding of your brand vision, website objectives, and your ideal client.
In the brand questionnaire, you’ll also be prompted to build a little Pinterest board where you’ll gather all the inspiring elements aligned with your brand vision. You can utilize the brand questionnaire as a tool to ensure you remain focused on the final product.
4. Website Content Guide
We’ll now enter the design phase. And this is our sweet spot! As professional website designers, we believe the website is where everything starts, branches out and comes back into so we’re going to focus most of our attention on your website. Initially, we’ll share a comprehensive workbook for outlining the content for every page of your website. You’ll receive strategic hints and cues meticulously crafted to lay the groundwork for compelling and impactful website copy that resonates with your ideal client. Furthermore, we offer instructions and standards for your website visuals, including access to a Google Drive folder where you can conveniently upload all necessary materials.

5. Branding, Messaging and Storytelling
What you say on your website works in conjunction with what you show and share. We’re going to work together to define your branding and messaging and make sure that aligns with your target customer. This includes logo design, colour palette, visual elements, storytelling, tone, typography and all the aesthetics of your business and website. We do it all, not leaving any part of your business lacking in connection with your target customer.
Once we’re all happy with the brand design, I’ll put everything together for you in as a selection of fonts, colour palettes, visuals, primary logo, social media logo, along with any other custom elements. I’ll bring all of these elements together into one beautifully designed package, which will also include keyword research that aligns with your branding.
6. Website Design Guide
It’s time for me to dive into your website design guide. Utilizing all the groundwork we laid out in the initial stages of the project, I’ll begin by outlining the site structure. My aim is to create a clear and straightforward roadmap, ensuring a seamless user experience throughout. I’ll leave no detail unattended, even addressing the wording on your site’s buttons, also known as calls to action (CTAs)
Following this, I’ll provide you with a website direction document for your review. This document will outline your website goals, vision, and the proposed layout of your menu and pages (referred to as your sitemap). You will then have a perfectly clear and concise guide on how to build out your great website.
If you have an existing website, we will apply the same principles and revise your site to meet the same standards.
7. Email Marketing and List Building
What’s a website if it doesn’t help you build a community, right? Creating a proper newsletter subscription process – including a landing page, opt-in with lead magnet, welcome message and email automations sequences to help build brand trust and identity is one of the most important steps in your business development. All branded, on message and delivered straight to the inbox of each subscriber!
8. Content, Blog Posts, Search Engine Optimization (SEO)
Once your website is up and running, we’ll make sure that it’s optimized and can grow in keyword density and in turn, organic traffic. We’ll work towards creating content that can be applied to all your platforms, including social media and google, and create blog posts that are searchable, so you’re not wasting any time creating content that no one is searching for or wants to consume. We’ll create low competitive, high search volume content that helps your website grow in authority and rank. We will also look at content management systems so that you’re as efficient as possible in your content creation.
We’ll also work to improve upon seo strategy by implementing A/B testing to content, titles and descriptions to see what works best for you.
9. Accountability, Analytics, Outreach and Growth
At this point, through weekly coaching calls, emails and unlimited voice notes, you’ve got the foundations of really well refined and targeted business. But, it’s not a one and done process – so moving forward, we’re going to focus on momentum, accountability and analytics. We will look at what works and what doesn’t and use analytics tools to study and adapt to meet the needs of your target audience. New content will get more refined and targeted as we study how your site is utilized and perceived.
We will continue to focus on organic traffic and search engines by optimizing off-site SEO (off-page) to help expand on your website reach and help build those backlinks!

Timeline, Deliverables and Commitments.
The entire process typically takes 3-6 months, so it’s best to commit to at least that to see growth and stability for a new business. While I don’t hold you to a certain contractual duration, I strongly suggest you make the time commitment to really benefit from the partnership.
To keep the project moving forward and stick to our timeline, it’s really important that you’re free over the whole period to provide constructive feedback in the most streamlined way possible. If there’s anything you’d like to discuss, we can always book another call to discuss items you might need urgent help with.
